Can you guarantee approval?
No, and no legitimate firm can. Approvals, certifications, effective dates and network decisions belong to agencies and payers alone. We manage the workflow: complete applications, verified evidence, met deadlines, documented follow-up.
Do you need our PECOS or portal passwords?
Never. Credential sharing is prohibited in our process. Work runs through individual authorized access — roles you grant and can see — or a documented handoff where you submit. Your logins stay yours.
Who signs the application?
Your authorized official or another permitted signer — never us. We prepare filings, you confirm the facts, and your signer certifies. Water Castle never signs provider attestations.
How are engagements structured?
Every engagement starts from a written scope that defines the filings, responsibilities, schedule and terms before work begins. Government and application charges are passed through at the amounts the agency publishes — never marked up, never guessed.
How fast can you work?
Our commitments are set out in the written scope: how work is triaged, how drafting is sequenced and how often you receive status. Government processing times are different — agencies and payers control them, and we never promise them.
What states do you cover?
Intake is nationwide; Medicare institutional-enrollment support is nationwide. Medicaid, payer, licensing and certification availability is confirmed by state, provider type and service — in writing, before engagement.
What do you need from us?
Accurate facts, source documents on request, a reachable authorized official, and prompt answers to questions only you can answer. We structure requests so your staff never runs the project.
How is sensitive data handled?
Never through this website. It has no upload function and no login. If a secure workspace is included in your engagement, Nicole provides the access instructions after engagement setup.
What is a development request?
An agency or contractor request for more information on a pending filing, with a stated deadline. We triage it promptly during operating hours, send you a specific request list, and calendar the agency deadline exactly as stated.
What happens after approval?
We verify the effective date against agency records — a decision is not closed until the record proves it — deliver a closeout binder, and load future dates into monitoring if you subscribe.
Do you work with attorneys?
Yes, routinely. We complement counsel: we run the administrative lane, they decide legal questions, and the documented file is open to them anytime. We do not practice law.
