EFT and banking changes

EFT and banking changes, under two-person control.

Banking changes are the highest-fraud-risk filing in enrollment. Ours run under mandatory two-person control, verified callbacks and documented confirmation.

Nationwide intake and Medicare institutional-enrollment support. Medicaid, payer, licensing and certification availability is confirmed by state, provider type and service.

The CMS-588 authorizes electronic funds transfer — it decides where Medicare payments land. That makes it the most fraud-sensitive record in your enrollment file, and the one change no facility should ever treat casually. We handle EFT setup and banking changes as a controlled, verified event, whether the change stands alone or travels with an enrollment, a revalidation or a change of ownership.

The two-person rule.

No banking change moves on one person's say-so. A second authorized reviewer, independent of the preparer, verifies the account details, the instruction's origin and the supporting documents before anything is filed. Our system enforces the separation of drafter and approver — it is not a habit that erodes under deadline pressure.

Fraud resistance by design.

Payment-diversion fraud works by hurrying people over email. So we removed the shortcut. We do not act on email-only instructions. Every banking change is confirmed by callback to a known number already on file — never to a number supplied inside the request itself. Instructions arriving from an unfamiliar contact are treated as unverified until proven otherwise, and every verification step is logged in the matter file.

What you provide.

Bank documentation on the institution's own paper — typically a voided check or a bank confirmation letter matching the facility's legal business name exactly. An authorized official available to certify and sign. And the change details, provided through the secure route Nicole sets up after engagement — never through public forms, never by email.

Turnaround discipline.

Banking changes run on our standard processing commitments: prompt preparation once verified documents are in hand, dual-control review, submission through your own access, and follow-up until the contractor's confirmation is archived. We track the change to confirmation and deliver the proof. What we never do is quote government processing times — those belong to the agencies, and no one honestly controls them.

One more habit worth adopting: if a banking-change request ever reaches your office claiming to be from us, verify by calling 732-966-6315 or emailing nicole@watercastleenrollment.com before acting.
